Position Summary
LIV is seeking a full-time Administrative Assistant to the Executive Director (ED) based in our Taipei Office. This position provides direct administrative, logistical, and coordination support to the ED in day-to-day work.
The ideal candidate is highly organized, discreet, dependable, and comfortable working in a fast-paced, mission-driven, and cross-cultural environment. The candidate must be able to work full-time from the office in Taipei and should have native-level Mandarin Chinese, strong familiarity with Taiwan’s local administrative and business environment, and working proficiency in Vietnamese or English.
Key Responsibilities
The Administrative Assistant to the ED will be responsible for:
Office operations and logistics
- Support the daily administration of the Taipei Office, including procurement, reimbursements, vendor coordination, printing, packaging, mailing, and shipping.
- Organize travel, transportation, accommodation, and other logistical arrangements for the ED and office activities as needed.
Executive and administrative support
- Manage the ED’s calendar, appointments, meetings, correspondence, and day-to-day administrative tasks.
- Prepare documents, take meeting notes, track follow-up items, and maintain records, files, and contact lists.
Coordination and communication
- Coordinate with staff, consultants, partners, and external stakeholders in Taiwan.
- Assist with drafting, translating, formatting, and proofreading documents and communications in Chinese and either Vietnamese or English.
Library and digital support
- Manage and maintain the office library, including books, publications, and related materials.
- Maintain LIV’s website and social media profiles through routine updates, posting, and coordination as assigned.
Other support
- Provide additional administrative and project support as assigned by the ED.
Qualifications
Required:
- Bachelor’s degree or equivalent professional experience. Final-year students are also encouraged to apply. A part-time arrangement may be considered until graduation, transitioning into a full-time role thereafter.
- Language ability: native-level proficiency in Mandarin Chinese, working proficiency in Vietnamese or English, with a strong preference for Vietnamese
- Strong familiarity with Taiwan’s local administrative, vendor, and business environment
- Legal authorization to work in Taiwan
- Strong organizational skills and attention to detail
- Ability to handle sensitive and confidential information with discretion and professionalism
- Strong written and verbal communication skills
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines
- Proficiency in standard office software and digital tools, including Google Workspace, Microsoft Office, website content management systems, and social media platforms
Preferred:
- Experience supporting senior executives or managers
- Ability to communicate in both Vietnamese and English.
- Experience working in a nonprofit, media, international, or multicultural environment
- Experience with office administration, scheduling, procurement, vendor coordination, printing, shipping, website administration, or social media management
